This policy explains what personal data the Yacht Forms app collects, why, where it is kept and the choices you have. It covers Yacht Forms on Android phones and tablets, iPhone, iPad and Mac, and this website, blufisch.com.

Our role
Yacht Forms is supplied to vessels and their management companies under contract. The vessel's operator decides which forms and records are kept and who may use the app, and is the controller of that data. BluFisch provides and runs the service on their behalf, as a processor. If you have a question about the records held about you, you can ask your vessel's administrator or contact us directly - we will help.
What we collect
- Your login and crew record: name, email address, role, access level and whether you are an administrator; a photo if one is added; and crew documents and certificates your vessel uploads to your record (for example certificates of competency, passport or visa copies).
- Form records: the answers, photos, scanned documents, file attachments and signatures entered in forms. Each entry is stamped with the name of the person who made it and the date and time.
- Location: when you allow it, the device's position is recorded with each form entry, so the record shows where it was made. It is read only while the app is open, never in the background. If you do not allow location, entries are marked "Location Data Disabled" and the app works as normal.
- Crash and error reports: if the app crashes or meets an error, a report is sent through Firebase Crashlytics (on Android, and on iPhone, iPad and Mac from version 2.6.0): the device model, operating system and app version, the technical details of the fault and a random installation identifier. We deliberately leave out names, email addresses and form content. On iPhone, iPad and Mac, Apple also passes crash reports to us if you have chosen to share analytics with app developers in your device's settings.
Yacht Forms has no advertising, no advertising identifiers and no analytics tracking. We never sell personal data or use it for marketing.
How it is used
- To let your vessel complete, store and share its safety management records across its devices.
- To archive closed forms: the app makes a PDF of the form and opens your device's own email app to send it to the archive addresses set by your vessel's administrator.
- To manage logins and access levels.
- To find and fix faults in the app.
Where it is kept
Records are stored with Google Firebase (Google Cloud): Firebase Authentication for logins, Cloud Firestore for form data, Cloud Storage for photos, files and signatures, and Firebase Crashlytics for crash reports. Data is stored in Google's European data centres. Google processes it under its data processing terms; any transfer outside the UK is protected by the safeguards those terms provide.
To work without a connection, the app keeps a copy of your vessel's records on the device and sends new work when the connection returns. Uninstalling the app removes that copy.
How long it is kept
Forms and their files are the vessel's official safety management record, which maritime rules generally require to be kept for at least three years. BluFisch keeps them for up to 48 months and then deletes them. When a form, photo or file is deleted in the app, its files are kept until that clean-up, so that a vessel's record can be recovered. Crash reports are deleted by Crashlytics after 90 days. Login and crew records are kept while you are part of a vessel's crew in the app, or until deletion is requested.
Security
Data is encrypted in transit and at rest. Access is limited by login and by the access level your vessel gives you; administrator functions are restricted to administrators.
Your rights
Under UK data protection law you can ask to see, correct or delete your personal data, to restrict or object to its use, and to receive a copy. Contact your vessel's administrator or info@blufisch.com. You can also complain to the Information Commissioner's Office: ico.org.uk.
To delete your Yacht Forms login and crew record, see Delete your Yacht Forms account.
This website
blufisch.com sets no cookies, has no analytics or tracking and no forms. Its pages load fonts and page components from Google Fonts, Font Awesome, jsDelivr and Start Bootstrap; like any web request, these services receive your device's IP address and browser details to deliver them.
Children
Yacht Forms is for professional crew and is not directed at children.
